The Pretoria Skou (Pty) Ltd is a registered private Company with registration number: 2025 / 118972 / 07

MAINSTREAM EDGE EVENTS proudly promotes the "Pretoria Skou" Pretoria Show (ALSO REFERRED TO AS "THE PRETORIA BOERE LANDBOUSKOU). Our event is scheduled from 19 - 21 September 2025 at the Harlequins Rugby Club Pretoria. With more than 20 years experience in the Industry, we are committed to a BOBAAS SKOU. The show will be in close proximity of Boksburg, Brits, Centurion, Edenvale, Kempton Park, Midrand and Johannesburg.

Our Terms & Conditions lays the foundation for cooperation and understanding to ensure the smooth running of our event. When we refer to our event, all participation Exhibitors are included. Every Vendor applying for an Exhibition Stall, does so out of his / her own free will and undertake to respect and abide with our Terms & Conditions. Our Terms & Conditions also known as Event Laws or Rules and Regulations forms a Binding Contractual Agreement between Organizer and Vendor and are "SET AND CAST IN STONE".

Our Terms & Conditions is also based on the Nampo Terms and Conditions, the leader in the Industry.

TERMS & CONDITIONS / EVENT LAWS / RULES AND REGULATIONS

BASIC TERMS & CONDITIONS 

  • Build Up and Breakdown - we do allow 1x day Build Up 18 September 2025 and 1x day Breakdown 22 September 2025. Kindly note that the Event will officially open on 19th of September 2025 and all exhibition stalls / stands should be in place and ready to trade.
  • All Exhibitors will be responsible for their own profits or losses.
  • Exhibitors / Vendors will only use their stalls in accordance with the approval from the Organizer / Organizers.
  • By booking a Stall, the Vendor accepts our Terms & Conditions and undertakes to abide to all our Terms and Conditions.

RIGHTS RESERVED BY THE ORGANIZERS OF PRETORIA SKOU.

  • The right of Admission is RESERVED.
  • The Organizer / Organizing Committee reserves the right to prohibit the sale of any article and / or literature which they consider undesirable.
  • The Organizer / Organizing Committee strictly prohibits any parties, receptions or social gatherings on the terrain and within a 5Km Radius of the Terrain.
  • The Organizer / Organizing Committee reserves the right to ban instigators form the event without any form of refund whatsoever. We will not not tolerate any INSTIGATION - GOSSIPING or NEGATIVE ACTIONS and ATTITUDES from any of the exhibitors before, during and after the event. Failure to comply with this condition may result in an immediate ban from the venue without any refund.

BOOKING PROCEDURE

  • Please note: ONLY ONLINE BOOKINGS WILL BE ACCEPTED AND CONSIDERED. As part of the online process you will have to confirm that you have Read our Terms & Conditions and that you will abide with all our Terms & Conditions / Rules Event Laws and Rules & Regulations of the event.
  • Kindly note: No bookings will be reserved with full or partial payment.
  • The Organizer / Organizing Committee reserves the right to reallocate the stand / stands in question to other prospective Exhibitors / Vendors in the event where no payment was made. We strictly deal on a First come - First served basis.
  • Our Terms & Conditions will take effect upon application.
  • It is the Exhibitor's responsibility to inform the Organizer / Organizing Committee beforehand of all the products that will be displayed and / or sold at their stands and to specify all products or goods which will be exhibited in the applicable space provided on the application form.
  • Exhibitors are required to complete the exhibitor’s Application Form in detail / in full. If something is Not Applicable, just type "N/A"

STANDARD EXHIBITION RULES:

  • Exhibitors must please refrain from consuming alcohol during the Event / Show times. Spectators / Guests may not bring any liquor nor Coolerboxes on site.
  • No permanent structures may be erected at the venue.
  • Exhibitors must please ensure a neat and tidy exhibition. The exhibition space should be kept free from litter, all cardboard boxes, packaging material and trailers in which exhibition material / products were packed must be removed from the exhibition site.
  • All Stalls / Exhibition stands to be erected in such a way as to NOT to obstruct excess to other Exhibition Stalls / Stands.
  • Exhibition may not project into the public walkways and may not exceed the Stall / Stand boundaries.
  • Vendors are bound by our Terms & Conditions to occupy their stalls / stands for the duration of our Exhibition.
  • Vendors must at all times ensure a High Class Exhibition Stand / Stall that will meet our requirements. The exhibitor shall, for the entire duration of the show and at his own expense, keep his exhibition area neat, clean and hygienic.
  • Only products that are approved by the Organizer / Organizing Team may be exhibited, displayed and sold at the "Pretoria Skou"
  • DIRECT SALES: Direct sales or order taking is allowed. Please ensure sufficient stock for the duration of the event.
  • Exhibitors failing to comply with any clause of this agreement, will risk losing their stands without any refunds.
  • It is the VENDOR'S responsibility to also ensure that their staff are well acquainted with our Terms & Conditions, and will adhere thereto.

CANCELLATION CLAUSE:

  • Cancellation Clause: no refunds will be made in respect of the stall once the booking is finalized.
  • Postponement of the Event: Any event may be postponed due an Act of God, Civil Unrest or due to any unforeseen circumstances prohibiting the Event from taking place.
  • According to our Cancellation and Refund policy, the ONLY CANCELLATIONS will be considered in the event of Death or Serious Illness and documentation to the effect will have to be submitted for verification.

DISCLAIMER NOTICE:

  • I understand that the Organizer / Organizing Committee of "Pretoria Skou" Pretoria Show or the Ownership / Management of the Harlequins Rugby Club, or any of their staff members, won’t accept any responsibility for any loss or damage that I may encounter as a result of my exhibition, and that I have to arrange with my own insurers for the necessary insurance cover.
  • I was furthermore advised that the Organizer / Organizing Committee  of of "Pretoria Skou" Pretoria Show / any of the Co-Organizers / Sponsors or the Ownership / Management of the Harlequins Rugby Club, won’t accept any responsibility for any form of injuries, accidents or even the accidental death to any person arising from attendance and or program participation. Entrance at own risk.
  • The terms of this notice is severable. Should any legislation restrict or prohibit the effect of this notice, such restriction or prohibition shall not invalidate the balance of this notice.

IMPORTANT NOTICES:

JOC - JOINT OPERATIONS COMMITTEE OFFICE:

  • We submit our own Joint Operations Committee Application to the City of Tshwane Metropolitan Municipality and will ensure that all legalities and approvals are in place. Our Joint Operations Committee comprises of our Health & Safety Officer, a SAPS Representative, our Security Representative, Medical Support Services, Fire Brigade Representative, Representative of the Health Department, Cleaning Services and last but not least the Organizer of the "Pretoria Skou" Pretoria Show.
  • A fully functional JOC office will be available at the event to deal with all sorts of emergencies.
  • Ewoud Botha from CEO - Complete Event Organizers, has been commissioned / appointed to do our JOC application.

MEDICAL SERVICES:

  • Medical Services will only be available during the course of the event and Exhibitors / Vendors / Contractors will be responsible for any medical accidents that may occur during the build-up or breakdown periods.

ELECTRICAL SUPPLY AND INSTALLATIONS:

  • Power can be made available to most of the open Stalls / Stands. Should an exhibitor wish to have a power point installed on his / her stand, the Exhibitor / Vendor must apply for it in writing during the application process.
  • Since our power supply is limited, Exhibitors / Vendors must apply for electricity points. Exhibitors / Vendors will be limited to 10 amperes and 20 amperes respectively. Hotplates, Kettles Urns and percolators will only be allowed at the Food Stalls.
  • Exhibitors / Vendors may, by no means, remove bulbs to obtain more power to their stands. An exhibitor may, under no circumstances, draw electricity directly for the resort by means of his / her own installation or coupling.
  • Installations which are not approved by the Organizers, will not be allowed and such installations will be removed summarily.

DEMONSTRATIONS:

  • Demonstrations are vitally important to Vendors and Exhibitors. It is expected of Exhibitors / Vendors to exhibit their products at their sites in such a way that it can be demonstrated to visitors.
  • Vendors may not and will not be allowed to demonstrate drones on the terrain.

BRANDING OPPORTUNITIES:

  • Flags improve the appearance and appeal of outdoor exhibitions and Exhibitors / Vendors are requested to make use thereof when designing their stands, without exceeding the boundaries of the sites. Special request may be done for additional branding rights as to flags and banners displays on other parts of the venue. 

DAMAGE OR MALICIOUS DAMAGE TO PROPERTY:

  • Vendors and their staff will be held liable for any damages caused to any facility / structure or the premises, or to another Vendor’s Property.

AMENDMENT TO OUR TERMS & CONDITIONS / EVENT LAWS / RULES & REGULATIONS:

  • These regulations are, at all times, subject to amendments and supplements at the discretion of the Organizers of "Pretoria Skou" Pretoria Show.

HEALTH AND SAFETY:

  • Our Health & Safety Officer (Ewoud Botha) will be responsible for the inspection of Stalls / Stands and to see if it meets the necessary legal requirements.

GENERAL:

ALTERATIONS TO PROGRAM

  • Weather conditions may cause alterations to the program.

STAND ATTENDANTS / REPRESENTATIVES:

  • Vendors should arrange for at least one representative to be in control of their stall / stand / stands during the operation times. It is important to be security conscious at the event. Together we can minimize crime and secure a Safe Environment for all during the the "Pretoria Skou" Pretoria Show.

PROMOTIONAL ITEMS:

  • The distribution of Pamphlets, Balloons or other promotional items may only be done with the consent of the Organizer / Organizing Committee of "Pretoria Skou" Pretoria Show .

SLEEPING OVER ONSITE:

  • We do not have sleeping and overnight facilities, though, exceptions may be made. Exhibitors / Vendors or their Staff may only overnight on the premises, with duly written consent from the Organizer / Organizing Committee. In such an event permission will only be granted to those with legal documentation, and certified copies of their IDs and Proof of Residence.

ACCESS AND USE OF VEHICLES:

  • No Exhibitor / Vendor will be allowed access of a vehicle onto the terrain during the "Preoria Skou" Pretoria Show. Only vehicles of service providers will be allowed and only in exceptional circumstances. Exhibitors who need to transport exhibition material to the exhibition premises are only allowed to do so daily between 06:30 and 08:30 in the mornings. Vehicle access is subject to certain conditions that must be strictly adhered to. Permission in terms of this clause will be granted at the discretion of the Organizer / Organizing Committee and is not a right in terms of the Vendor's / Exhibitor’s Agreement.

ALCOHOL REGULATION:

  • Alcohol may be tasted, sold and consumed at the various authorized Bars / Beer Gardens. STRICTLY NO LIQUOR SALE TO UNDER 18's subject to the Liquor License Regulations and Permits. Exhibitors must please refrain from consuming alcohol during the Event / Show times. Spectators / Guests may not bring any liquor nor Coolerboxes on site.

NOISE AND PRESENTATIONS AT STANDS:

  • No loudspeakers or sound boosters are allowed at stands without prior written consent from the Organizer / Organizing Committee.

PUBLIC LIABILITY:

  • The "Pretoria Skou" Pretoria Show's Public Liability Insurance Policy does not cover the Exhibitor / Vendor or their Staff or Exhibition. It would therefore be in the interest of the Exhibitor / Vendor to obtain his own Public Liability Insurance for the duration of the "Pretoria Skou" Pretoria Show.

INSURACE:

  • The "Pretoria Skou" Pretoria Show is utilizing the Services of Internal and External Security Staff and every care will be given to secure the property of our Valued Vendors, but it must be clearly understood and noted that the Organizer / Organizing Committee or the Harlequins Rugby Club will not accept any responsibility for the theft, loss or damage of goods for whatsoever reason.

COMPETITIONS AND FUND-RAISING:

  • Only permitted, approved and authorized Charity Organizations may promote Competitions and Fund-Raising Projects at the "Pretoria Skou" Pretoria Show.

ENTERTAINMENT:

  • The "Pretoria Skou" Pretoria Show is primarily a place of business, emphasis should be placed on the promotion of products, information and services. Vendors / Exhibitors will not be allowed to present any form of entertainment on their stands. This includes shows, music, jumping castles without the written consent of the Organizer / Organizing Committee.

REMOVAL OF EXHIBITION:

  • With the exception of goods that have been sold directly to the public, no exhibition or part thereof may be removed from the "Pretoria Skou"  Pretoria Show before the end of the Event.

REMOVAL OF GOODS FROM STAND / STALL:

  • Exhibitors who do not wish to risk leaving their goods at their stands overnight should reconsider exhibiting at the "Pretoria Skou" Pretoria Show. No special arrangements will be made for the daily removal of products unless prior written consent has been granted before the event by the Organizer / Organizing Committee, which consent will be granted at the discretion of the Organizer / Organizing Committee and will not be a right in terms of the Vendor / Exhibition Agreement.

DELIVERIES:

  • Exhibitors will not be allowed to transport exhibition material to and from the grounds during official show hours. Deliveries will only be allowed in the morning between 06:30 - 08:30.

BREAKDOWN OF STALLS:

  • No exhibitor may partially or totally dismantle his / her exhibition or remove it from his / her Stand before 17:00 on Sunday the 21st of September 2025 - This includes any product, exhibition material, banners and pamphlets or any item which may have formed part of the original exhibition. No exceptions will be considered and exhibitors failing to comply with this condition, will forfeit their exhibition rights for the future.

PERSONAL ACCEPTANCE AND ACKNOWLEDGEMENT OF THE TERMS & CONDITIONS / EVENT LAWS / RULES AND REGULATIONS BY THE VENDOR / EXHIBITOR AT "PRETORIA SKOU" PRETORIA SHOW:

I HAVE READ ALL THE TERMS & CONDITIONS / EVENT LAWS / RULES & REGULATIONS OF "PRETORIA SKOU" PRETORIA SHOW AND UNDERSTAND THEM.

I WILL MAKE MY STAFF AND OR OUR REPRESENTATIVES AWARE OF THE TERMS & CONDITIONS / EVENT LAWS / RULES AND REGULATIONS AND FIRMLY CONSENT TO ADHERING ALL THE TERMS & CONDITIONS / EVENT LAWS / RULES AND REGULATIONS.
